These Terms of Service ("Terms") govern your use of WorkIntelMD, operated by WorkIntelMD ("we," "us," or "our"), accessible at app.workintelmd.com. By creating an account, you agree to be bound by these Terms. If you do not agree, do not use the service.
Please also read our Privacy Policy, which is incorporated into these Terms.
WorkIntelMD is a personal productivity application for physicians. It provides shift tracking, earnings analysis, credential management, and AI-assisted scheduling intelligence. The service is delivered as a web application and progressive web app (PWA) accessible from any modern browser.
WorkIntelMD is a personal tool. It is not a billing system, an electronic medical record, a credentialing verification service, a payroll platform, or a tax preparation service. Information generated by WorkIntelMD — including earnings summaries and AI analysis — is for personal reference only and does not constitute professional financial, legal, or tax advice.
You must be at least 18 years old to create an account. By signing up, you represent that all information you provide is accurate and that you are authorized to agree to these Terms.
Each account is for a single individual. Sharing your account with others, or creating accounts on behalf of others without their knowledge, is not permitted.
You are responsible for maintaining the security of your login credentials. Notify us immediately at hello@workintelmd.com if you suspect unauthorized access to your account.
New accounts receive a 14-day free trial with full access to all features. No credit card is required to start a trial.
At the end of the trial period, you will need to subscribe to continue using WorkIntelMD. If you do not subscribe, your account will be suspended. Your data will be retained for 30 days after suspension, during which you may subscribe to regain access or request a data export.
Promo codes: If you have been given a promotional code, enter it during onboarding. Valid promo codes extend your trial period. Promo codes are single-use per account, non-transferable, and have no cash value.
WorkIntelMD is offered as a monthly subscription. Current pricing is as follows:

Subscriptions are billed monthly in advance. Your billing date is set when you first subscribe. Payment is processed by Stripe. We do not store your payment card information.
We reserve the right to change pricing with at least 30 days' advance notice by email. Price changes will not affect your current billing period.
Auto-renewal: Your subscription renews automatically each month until you cancel. You can cancel at any time from within the app or by contacting us.
You may cancel your subscription at any time from the profile tab within WorkIntelMD, or by emailing hello@workintelmd.com. Cancellation takes effect at the end of your current billing period. You will retain access until that date.
We do not offer refunds for partial billing periods. If you cancel mid-month, you will retain access through the end of the month you have already paid for.
If you believe you were charged in error, contact us within 14 days of the charge at hello@workintelmd.com and we will review it promptly.
By using WorkIntelMD, you agree to the following.
No patient data. You must not enter any protected health information, patient names, dates of birth, diagnoses, medical record numbers, or any other patient-identifiable information into WorkIntelMD. WorkIntelMD is not designed, tested, or intended to handle PHI. Entering patient data is a violation of these Terms and may have legal consequences independent of your use of this service.
Accurate information. You agree to enter accurate data into the service. WorkIntelMD is a personal reference tool — inaccurate data produces inaccurate analysis, and that is your responsibility, not ours.
No misuse. You agree not to attempt to reverse-engineer, scrape, or exploit the service; not to use automated tools to access the service in ways that exceed normal individual use; and not to attempt to circumvent rate limits, access controls, or subscription restrictions.
One account per person. You may not create multiple accounts to circumvent trial limits or promotional code restrictions.
Professional conduct. WorkIntelMD is a tool to support your professional work. You remain solely responsible for all clinical, financial, and professional decisions you make. Nothing in WorkIntelMD replaces your own professional judgment.
WorkIntelMD uses AI (Google Gemini) to generate shift analysis, scheduling recommendations, and document extraction. These features are tools to support your thinking — they are not advice.
AI output is not medical advice. Shift analysis and scheduling recommendations generated by WorkIntelMD's AI are for informational and planning purposes only. They do not constitute medical, financial, legal, or tax advice of any kind.
AI-generated analysis may be incorrect, incomplete, or not applicable to your specific situation. You should not make significant professional or financial decisions based solely on AI output from WorkIntelMD without applying your own professional judgment and, where appropriate, consulting qualified professionals.
We do not guarantee the accuracy, reliability, or completeness of AI-generated content. AI models can produce errors. The AI features in WorkIntelMD are provided as-is.
WorkIntelMD, including its code, design, branding, and AI prompts, is owned by WorkIntelMD and protected by applicable intellectual property laws. You may not copy, reproduce, or redistribute any part of the service without our written permission.
Your data — your shift records, credentials, and account information — belongs to you. We claim no ownership over the content you enter into WorkIntelMD. See the Privacy Policy for details on how your data is handled and how to export or delete it.
WorkIntelMD is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted, error-free, or completely secure.
To the fullest extent permitted by law, WorkIntelMD shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of — or inability to use — the service. This includes, without limitation, loss of earnings, loss of data, or decisions made based on information or AI output generated by WorkIntelMD.
Our total liability to you for any claim arising from your use of WorkIntelMD shall not exceed the amount you paid us in the three months immediately preceding the claim.
Some jurisdictions do not allow certain limitations of liability. In those jurisdictions, our liability is limited to the maximum extent permitted by law.
You may close your account at any time by contacting us at hello@workintelmd.com.
We reserve the right to suspend or terminate accounts that violate these Terms, particularly the prohibition on entering patient data, the one-account-per-person rule, or any attempt to misuse or abuse the service. In cases of serious violations we may terminate immediately and without prior notice.
Upon account closure or termination, your data will be retained for 30 days and then deleted from our systems. You may request a data export during that 30-day window.
These Terms are governed by the laws of the State of Texas, United States, without regard to its conflict-of-law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Texas, and you consent to personal jurisdiction in those courts.
We may update these Terms from time to time. If we make material changes, we will notify you by email at least 14 days before the changes take effect. The effective date at the top of this page will be updated whenever the Terms change.
Continued use of WorkIntelMD after updated Terms take effect constitutes your acceptance of the changes. If you do not agree to the updated Terms, you may cancel your account before the effective date.
