These Terms of Service ("Terms") govern your use of WorkIntelMD, operated by WorkIntelMD ("we," "us," or "our"), accessible at app.workintelmd.com. By creating an account, you agree to be bound by these Terms. If you do not agree, do not use the service.
Please also read our Privacy Policy, which is incorporated into these Terms.
WorkIntelMD is a personal productivity application for physicians and other shift-based clinicians. It provides job and workplace management, shift tracking, itemized earnings and tax-estimate tools, business-expense tracking, credential management, data export, optional push notifications, and a deterministic shift-offer comparison tool. Select features — smart shift-text entry, document/photo import, and an optional tax-rate suggestion — are AI-assisted; these are described further in Section 7. The service is delivered as a web application and progressive web app (PWA) accessible from any modern browser.
Push notification delivery depends on your browser, device, operating system, connectivity, and notification permissions, and is not guaranteed.
WorkIntelMD is a personal tool. It is not a billing system, an electronic medical record, a credentialing verification service, a payroll platform, or a tax preparation service. Information generated by WorkIntelMD — including earnings summaries, tax estimates, and AI-assisted suggestions — is for personal reference only and does not constitute professional financial, legal, or tax advice.
You must be at least 18 years old to create an account. By signing up, you represent that all information you provide is accurate and that you are authorized to agree to these Terms.
Each account is for a single individual. Sharing your account with others, or creating accounts on behalf of others without their knowledge, is not permitted.
You are responsible for maintaining the security of your login credentials. Notify us immediately at hello@workintelmd.com if you suspect unauthorized access to your account.
New accounts receive a 14-day free trial with full access to all features. A payment card is collected at checkout via Stripe to set up your subscription. You will not be charged until your 14-day trial ends.
At the end of the trial period, your subscription will automatically convert to a paid monthly subscription unless you cancel before the trial ends. If payment fails or your subscription becomes inactive, your account access may be suspended until the issue is resolved. While suspended, you may restore access by resolving the payment issue, or request a data export or account deletion by contacting us at hello@workintelmd.com.
Promo codes: If you have been given a promotional code, enter it during onboarding. Valid promo codes extend your trial period. Promo codes are single-use per account, non-transferable, and have no cash value.
WorkIntelMD is offered as a monthly subscription. Current pricing is as follows:

Intro pricing is available to subscribers who sign up through Dec 31, 2026. Beginning after that date, the standard price of $14.99/month applies to new and existing subscriptions.
Subscriptions are billed monthly in advance. Your billing date is set when you first subscribe. Payment is processed by Stripe. We do not store your payment card information.
We reserve the right to change pricing with at least 30 days' advance notice by email. Price changes will not affect your current billing period.
Auto-renewal: Your subscription renews automatically each month until you cancel. You can cancel at any time through the Stripe Billing Portal (accessible from the profile tab) or by contacting us.
You may cancel your subscription at any time through the Stripe Billing Portal, accessible via the profile tab in WorkIntelMD, or by emailing hello@workintelmd.com. Cancellation takes effect at the end of your current billing period. You will retain access until that date.
We do not offer refunds for partial billing periods. If you cancel mid-month, you will retain access through the end of the month you have already paid for.
If you believe you were charged in error, contact us within 14 days of the charge at hello@workintelmd.com and we will review it promptly.
By using WorkIntelMD, you agree to the following.
No patient data. You must not enter any protected health information, patient names, dates of birth, diagnoses, medical record numbers, or any other patient-identifiable information into WorkIntelMD. WorkIntelMD is not designed, tested, or intended to handle PHI. Entering patient data is a violation of these Terms and may have legal consequences independent of your use of this service.
Accurate information. You agree to enter accurate data into the service. WorkIntelMD is a personal reference tool — inaccurate data produces inaccurate analysis, and that is your responsibility, not ours.
Reviewing outputs. WorkIntelMD calculates, estimates, extracts, imports, and compares information based on what you and its AI-assisted features provide. AI extraction, calculations, estimates, imports, comparisons, and other outputs may contain errors or omissions, and uploaded documents may be incomplete, inaccurate, or misinterpreted during processing. You are responsible for reviewing and confirming all entered, imported, extracted, and calculated information before relying on it, and for the financial, employment, credential, scheduling, and tax decisions you make using it.
Your own records. WorkIntelMD is a planning and tracking tool, not a substitute for your own record-keeping. You should maintain your own copies of important schedules, credential documents, exports, and other important information, rather than relying on WorkIntelMD as your sole system of record.
Reminders are a convenience. Push notifications and other in-app reminders are provided as a convenience only (see Section 1 for delivery limitations) and are not a substitute for your own tracking. You remain responsible for independently tracking your shifts, credential renewals, deadlines, and similar obligations.
Installation. For the best experience, including notification functionality, open app.workintelmd.com and follow the installation instructions provided there, rather than adding this public website to your Home Screen. If you add WorkIntelMD to your Home Screen directly from this website instead, notification permission may not be configured correctly on that installation, even though the rest of the app continues to work normally.
Shared and public devices. A signed-in session may remain active for your convenience. If you use WorkIntelMD on a shared or public device, you are responsible for signing out when you're finished — anyone who uses that device afterward may be able to access the information available through your account until you do.
No misuse. You agree not to attempt to reverse-engineer, scrape, or exploit the service; not to use automated tools to access the service in ways that exceed normal individual use; and not to attempt to circumvent rate limits, access controls, or subscription restrictions.
One account per person. You may not create multiple accounts to circumvent trial limits or promotional code restrictions.
Professional conduct. WorkIntelMD is a tool to support your professional work. You remain solely responsible for all clinical, financial, and professional decisions you make. Nothing in WorkIntelMD replaces your own professional judgment.
WorkIntelMD includes AI-assisted features for smart shift-text entry, document/photo import, and an optional income-tax-rate suggestion. These features are tools to support your thinking — they are not advice.
Smart shift-text entry extracts a single shift from text you paste or type. Document/photo import supports multiple shifts from one uploaded document, including shifts across multiple jobs you select — each extracted shift, including any extracted pay, reimbursements, expenses, or bonuses, is matched to a job and presented to you individually for review before it is saved. AI extraction is best-effort: it may misread or mislabel details, and you are responsible for reviewing, correcting, or removing any extracted item before confirming.
The shift-offer comparison tool is a separate, deterministic feature: it applies fixed calculation logic to your entered rates, goals, and history and does not use AI. Financial and tax calculations throughout WorkIntelMD — including earnings totals, the estimated tax reserve, and paycheck comparisons — are likewise deterministic and are not generated or altered by AI.
AI features may rely on external AI service providers. By using AI-assisted features, you understand that the text, documents, or information you submit for AI processing may be transmitted to external providers. External provider terms, privacy, and retention policies may apply. WorkIntelMD does not represent that AI output is complete, accurate, or suitable for professional decision-making without your own review.
AI output is not medical, financial, legal, or tax advice. Suggestions generated by WorkIntelMD's AI-assisted features — including the tax-rate suggestion — are for informational and planning purposes only. They are reference points you review and confirm, not calculated obligations or professional advice.
AI-generated suggestions may be incorrect, incomplete, or not applicable to your specific situation. You should not make significant professional or financial decisions based solely on AI output from WorkIntelMD without applying your own professional judgment and, where appropriate, consulting qualified professionals.
We do not guarantee the accuracy, reliability, or completeness of AI-generated content. AI models can produce errors. AI-assisted features in WorkIntelMD are provided as-is and are subject to daily fair-use limits.
Historical records. Saved shift records preserve their stored financial values and available snapshots rather than being silently rewritten when current settings change. Where a valid income-tax-rate snapshot exists, it remains associated with that shift. This is intentional: it keeps your historical records consistent and auditable, rather than having past records silently change every time you update a current setting.
Annual Tax Reserve. Your annual Tax Reserve is a planning estimate, recalculated live each time you view it — it is not a saved record. It uses each shift's saved income-tax rate where one exists, falling back to your job's or profile's current rate otherwise. Which shifts count toward your W-2, 1099, or unclassified totals for the year reflects each job's current classification. Self-employment and payroll contribution estimates use your current profile country and region. Job bonuses and General Business Expenses always use their current values. As a result, your annual Tax Reserve total can change when you update current settings, even though your individual saved shift records do not.
General Business Expenses (GBE). In the current WorkIntelMD planning model, deductible General Business Expenses reduce estimated taxable income for 1099 and unclassified income, and also reduce the modeled self-employment-tax basis for that income; W-2 income is not reduced. This describes WorkIntelMD's modeled planning behavior, not a definitive statement of tax law — actual deductibility and treatment depend on your own facts and applicable law, and should be reviewed with a qualified tax professional.
Gross Paycheck Checker. This tool compares the gross pay recorded in WorkIntelMD against a gross amount you enter from a paycheck. It compares gross pay only — it does not validate taxes, withholding, deductions, benefits, or payroll setup, and a discrepancy is a prompt to review your records, not proof of a payroll error.
Country and jurisdiction limitations. The active US tax and payroll template provides WorkIntelMD's most complete tax and payroll estimates. Support for Canadian payroll contributions (CPP/EI) and Quebec-specific contributions (QPP/QPIP) has been built but is not yet active while it completes testing — until activated, Canada receives income-tax estimates using your entered rate, but not CPP/EI/QPP/QPIP contribution estimates. For all other countries, WorkIntelMD provides income-tax estimates only, using your entered rate — payroll and self-employment contributions are not modeled for unsupported countries. Which jurisdictions are supported, and the scope of what is modeled, may change over time.
Exports. Exported data reflects information you've entered and figures WorkIntelMD has calculated from it. Exports are not certified payroll, accounting, or tax filings, and should be independently reviewed before being relied on for tax, accounting, or professional purposes.
WorkIntelMD relies on third-party providers to deliver core functionality, including payment processing (Stripe), cloud hosting and database services, AI processing providers, push notification delivery, email delivery, and the browsers and operating systems you use to access the app. Availability, performance, and specific functionality may be affected by outages, maintenance, policy changes, or other issues with these third-party providers, outside WorkIntelMD's control. WorkIntelMD is not responsible for failures, delays, or limitations caused by circumstances outside its reasonable control, including third-party service interruptions.
WorkIntelMD, including its code, design, branding, and AI prompts, is owned by WorkIntelMD and protected by applicable intellectual property laws. You may not copy, reproduce, or redistribute any part of the service without our written permission.
Your data — your shift records, credentials, and account information — belongs to you. We claim no ownership over the content you enter into WorkIntelMD. See the Privacy Policy for details on how your data is handled and how to export or delete it.
WorkIntelMD is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted, error-free, or completely secure.
To the fullest extent permitted by law, WorkIntelMD shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of — or inability to use — the service. This includes, without limitation, loss of earnings, loss of data, or decisions made based on information or AI output generated by WorkIntelMD.
Our total liability to you for any claim arising from your use of WorkIntelMD shall not exceed the amount you paid us in the three months immediately preceding the claim.
Some jurisdictions do not allow certain limitations of liability. In those jurisdictions, our liability is limited to the maximum extent permitted by law.
You may close your account at any time by contacting us at hello@workintelmd.com.
We reserve the right to suspend or terminate accounts that violate these Terms, particularly the prohibition on entering patient data, the one-account-per-person rule, or any attempt to misuse or abuse the service. In cases of serious violations we may terminate immediately and without prior notice.
Upon account closure or termination, you may request a data export or full account deletion by contacting us at hello@workintelmd.com. See our Privacy Policy for how we handle data after account closure.
These Terms are governed by the laws of the State of Texas, United States, without regard to its conflict-of-law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Texas, and you consent to personal jurisdiction in those courts.
We may update these Terms from time to time. If we make material changes, we will notify you by email at least 14 days before the changes take effect. The effective date at the top of this page will be updated whenever the Terms change.
Continued use of WorkIntelMD after updated Terms take effect constitutes your acceptance of the changes. If you do not agree to the updated Terms, you may cancel your account before the effective date.
